The idea of citation management is a very powerful one. However, when used incorrectly, it can make a managerial position looks like a job for the President of the United States. It is important that you know how citation management functions before you try to use it to keep your job in good standing.

Citation management involves keeping paper documents on citations that are issued against a teacher, principal, principal investigator, or administrator. The citation file is created by the assistant principal and contains the student’s name, grade level, date of birth, name of the district or school district, and the name of the offending person or persons who issued the citation. However, the office doesn’t store information on the parents, guardians, or custodians of the student.

Citation management functions because the assistant principal alerts you to any problems. In addition, a student may be referred to counselling. This keeps students and educators from acting out in class. However, the confidentiality of student information should be held at the utmost.

When a student is referred to counseling, then the appropriate citation is place in the citation file. So as to keep a citation up-to-date, any new information that’s received is listed by the office. The office keeps records for a single year.

Many times, teachers who are pulled up for giving out multiple citations, will just write a short letter explaining the circumstance. This makes citation management a lot easier. In actuality, many students can’t citation management believe they’ve been cited for an infraction.

Notice of these citations have to be sent to the Office of Student Conduct within two business days. The office must forward the note of the citation to the District Attorney’s Office, as well.

When Manual Citations is issued, the student can be assigned a work guide. This work guide will inform the student about any breach that occurred.

If there is a breach, the Office of Student Conduct will send a letter out to the student. The student must then respond within ten business days. The letter should contain the essential information that was violated and how the violation happened.

The disciplinary procedure is explained to the student. The student is notified if they are required to attend a formal hearing.

The Office of Student Conduct must notify the student that their appeal of the citation is in process. If the student meets all requirements, the student will be allowed to attend such hearings. If the student fails to attend the hearing, then the citation becomes an official record in the district.

The Office of Student Conduct should allow the student know if they need to meet with a supervisor before meeting with the Dean of Students. The student is also advised to stay in contact with the Dean of Students, the Student Services Manager, and the Assistant Principal.
